Privacy policy

RoofTechnologies is a business phone, texting and scheduling service operated by PenSnap Software, LLC (“we”). This policy covers the RoofTechnologies website, web app and the RoofTechnologies apps for iPhone and Android.

RoofTechnologies is used by companies (“customers”) and their team members. A customer controls the business data in its RoofTechnologies account: its contacts, conversations, calls and recordings. We process that data on the customer’s behalf and under its instructions. If you are a customer’s client or caller, contact that company about your data; we will help them respond.

• Account information: name, work email, phone numbers, role, company, profile photo and profile details you add, and sign-in credentials (passwords are stored only as one-way hashes).
• Communications content: text and picture messages, call details (numbers, times, duration, outcome), voicemail, and call recordings and transcripts when the customer turns recording on.
• Contacts and scheduling: the names, phone numbers and emails of the customer’s contacts, and bookings made through RoofTechnologies scheduling pages.
• Device information (mobile apps): push-notification tokens, device model, operating-system version and app version, so we can deliver calls and notifications to your phone.
• Microphone: used only during a call you place or answer. Audio is sent live to the other party and is stored only if the customer has turned call recording on.
• Camera and photos: used only when you choose a profile photo.
• Usage and security data: sign-in events, IP address, browser or device type and service logs, used to keep accounts secure and the service working.
• Billing: the customer’s plan and payment status. Card details are handled by Stripe and never reach our servers.

The mobile apps do not collect your location, do not read your device contacts, and contain no advertising or third-party advertising trackers.

• To provide the service: route calls and texts, ring your phone, deliver voicemail and notifications, host scheduling pages and digital business cards.
• To produce transcripts and summaries of calls and voicemail when the customer enables those features.
• To keep accounts secure, prevent abuse and spam, and meet carrier messaging rules.
• To support you, bill the customer, and improve the service.

We do not sell personal information, and we do not use communications content for advertising.

Only with service providers that run parts of RoofTechnologies for us, under contracts that limit their use of the data:

• SignalWire (phone numbers, calls and text messaging)
• Apple Push Notification service and Google Firebase Cloud Messaging (notifications and incoming calls)
• Railway and Cloudflare (hosting, storage and network)
• Resend (email delivery)
• Stripe (billing)
• Google (Gemini) and OpenAI (transcripts and AI features, when enabled)
• Sentry and PostHog (error monitoring and website analytics)
• Google, Microsoft, Apple and Zoom, only when you choose to connect a sign-in, calendar or meeting account

We may also disclose information when the law requires it or to protect the safety of people or the service.

Business records (conversations, call history, voicemail and recordings) are kept for as long as the customer keeps its account, subject to the retention settings the customer chooses. When a customer closes its account, we delete its data at its request, except where we must keep records to meet legal obligations.

You can delete your own account in the RoofTechnologies app under Settings, Delete account. This removes your sign-in and your personal profile right away. Messages and calls you handled belong to your company and stay in its account. See how to delete your account.

Data is encrypted in transit. Access is limited to staff who need it, sign-in supports two-factor verification, and administrators can review account activity.

You can view and update your profile in the app. Depending on where you live, you may have the right to access, correct, delete or export your personal information. Email us and we will respond within 30 days. If your company manages your account, we may refer the request to it.

RoofTechnologies is a business service for adults. It is not directed to children under 16, and we do not knowingly collect their information.

We will post any changes here and update the effective date. If a change is significant, we will also notify account administrators.
